Offboarding Process
Who initiates offboarding
- Voluntary resignation: Employee notifies manager → manager notifies People Ops → People Ops starts process
- Involuntary: People Ops and manager coordinate; IT is notified in advance
- Notice period: [FILL: standard 2 weeks / role-specific]
Manager checklist
- Notify People Ops immediately (before announcing to team)
- Coordinate on knowledge transfer — what needs to be documented?
- Identify who will take over open work / accounts / relationships
- Complete access revocation request (IT does the work, manager initiates)
IT deprovisioning (happens on last day or immediately for involuntary)
- Okta account suspended → cascades to all SSO-connected tools
- Email account deactivated / forwarded per [FILL: policy]
- CRM account ownership transferred (RevOps)
- GitHub access removed
- AWS / infra access removed
- All production system access revoked
- 2FA tokens deregistered
Device return
- Company device must be returned within [FILL: X days] of last day
- Ship to: [FILL: IT address or regional office]
- Shipping label: IT will provide
- If device is lost or not returned: [FILL: policy on charging employee]
People Ops final steps
- Final paycheck: issued by [FILL: next regular payroll cycle or earlier?]
- Expense reports: submit any outstanding by last day
- Equity: [FILL: vesting cutoff date, exercise window for options]
- Benefits: Coverage ends [FILL: last day / end of month]; COBRA info sent for US employees
- Exit interview: Optional but encouraged, scheduled by People Ops
Data and knowledge transfer
- Work product on company tools is property of Apollo
- Personal data on company devices will be wiped after return
- Do not take customer data, code, or confidential materials
