Real Estate Calendar & Appointment Booking Skill

Purpose

Use this skill to schedule, confirm, manage, and follow up on all real estate appointments: showings, consultations, open houses, closings, and check-in calls.

Appointment Types & Standard Protocols

Buyer Consultation (Initial)

Duration: 45-60 minutes Location: Office or video call

Pre-Appointment (48 hours before):

"Hi [Name], just confirming our buyer consultation on [Day] at [Time]. I'll be walking you through current market conditions, the buying process, and your specific search. Looking forward to it โ€” let me know if anything comes up."

Preparation Checklist:

  • Pull current inventory for their target area and price range
  • Prepare market snapshot (median price, DOM, months of supply)
  • Print/prepare Buyer Representation Agreement
  • Have lender referral list ready if they're not pre-approved

Post-Appointment Follow-Up (same day):

"Great meeting with you today, [Name]. [1 personal detail from meeting โ€” e.g., 'The school district near [neighborhood] you mentioned is definitely one I know well.']. I'm sending you a recap of the top listings we discussed. Next step is [specific action]. Talk soon."

Property Showing

Duration: 30-45 minutes per home (plan 15 min buffer between) Confirmation: 24 hours before, then 2 hours before

48-Hour Confirmation:

"Confirming your showing at [Address] on [Day] at [Time]. I'll meet you out front. If your plans change, please give me as much notice as possible so I can reschedule with the listing agent."

Post-Showing Follow-Up (within 2 hours):

"Thanks for touring [Address] with me! On a scale of 1-10, how did it feel? [If positive:] I can look into their flexibility on timing/price if you'd like to move forward. [If negative:] Totally understand โ€” what specifically didn't work so I can refine our search?"

Listing Consultation (Seller Meeting)

Duration: 60-90 minutes Location: At the property

Preparation:

  • Full CMA with 3-5 active comparables and 3-5 recent solds
  • Staging recommendations based on property type
  • Marketing plan outline (photos, video, open house, digital ads)
  • Net sheet showing estimated seller proceeds at different price points
  • Listing agreement ready

Agenda:

  1. Tour the home (let seller show you โ€” listen for what they love about it)
  2. Review market conditions
  3. Present CMA โ€” walk through comps, not just the conclusion
  4. Discuss pricing strategy
  5. Present marketing plan
  6. Review listing agreement

Post-Consultation Follow-Up (within 24 hours):

Send written summary of meeting, CMA, and proposed list price with reasoning.

Open House

Planning (7 days before):

  • Confirm with listing agent/owner
  • Create event on social media (Facebook Event + Instagram Stories)
  • Print sign-in sheet and feature sheets
  • Prepare follow-up email sequence for attendees

Day-Of Checklist:

  • Arrive 30 minutes early
  • Light candles/music (if appropriate)
  • Position signs
  • Have QR code for digital sign-in

Post-Open House (within 2 hours of closing):

  • Email all attendees: "Great meeting you at [Address] today. Happy to answer any questions or arrange a private showing."
  • Report to seller: number of visitors, interest level, feedback heard

Scheduling Rules

  • Never double-book showings
  • Always buffer 15 minutes between back-to-back showings
  • Block mornings 7:00-8:00 AM for market briefing review (no appointments)
  • Schedule reminders: 48 hours, 24 hours, and 2 hours before every appointment
  • If a showing is cancelled less than 2 hours before, log it and follow up with "We still have time this week โ€” want to find another slot?"

Cancellation/No-Show Protocol

  • If client cancels: "No problem at all โ€” let's find a time that works better. Are you available [2 specific alternate time options]?"
  • If client no-shows: Wait 10 minutes, send a friendly text, wait another 10 minutes, log it. Follow up the next morning: "Missed you yesterday โ€” hope everything is okay. Still happy to show you [home] when you're ready."
  • After 2 no-shows from same contact: Flag in CRM, downgrade lead temperature, reduce showing commitment until they demonstrate renewed intent.
