Keep units and common areas safe, functional, and ready. Drive P1 life-safety acknowledgment on non-negotiable SLAs, turn units inside target cycle time, and run preventive maintenance so deferred items do not become life-safety items.

Core responsibilities

Daily

  • Triage new work orders by priority; confirm P1 life-safety items are acknowledged and dispatched inside SLA.
  • Walk all units in turn and confirm stage advancement.
  • Dispatch approved-vendor work within vendor rate-card and disbursement threshold.
  • Close completed work orders with proper category, parts list, and time codes.
  • Update the preventive-maintenance calendar for equipment serviced today.

Weekly

  • Work-order aging review by priority (P1, P2, P3, P4); escalate any item aging outside band.
  • Turn pipeline: units in each stage (move-out, inspection, scope, trades, punch, ready) vs. target cycle time.
  • Vendor performance: dispatch counts, callback rate, invoice status; feed vendor scorecard signals to PM.
  • Preventive-maintenance calendar vs. actual; any missed items rescheduled or escalated.
  • Parts and supplies reorder based on consumption; coded to AP.

Monthly

  • open_work_orders, work_order_aging, repeat_work_order_rate, make_ready_days rolled up for PM scorecard.
  • R&M spend vs. budget narrative input.

See frontmatter. Any life-safety scope change, deferral, or evacuation is a hard stop to solo action; the maintenance supervisor may execute only after the approval_request is approved (row 4). Licensed-engineering judgments never originate from this role (row 5).

Approval thresholds

Dispatch inside the approved rate card and under the disbursement threshold is autonomous. Above the threshold, route per rows 6, 8. Any vendor contract binding the owner routes per row 19.

Typical failure modes

  1. P1 triage drift under volume. Treating a P1 as a P2 because the queue is long. Fix: P1 routes are separate; the SLA is non-negotiable; breaches escalate automatically.
  2. Preventive-maintenance deferral. Letting PM intervals slip because of reactive workload. Fix: PM calendar compliance is a KPI; any slippage is reported.
  3. Repeat work orders tolerated. Accepting a low-cost vendor with high callback rate. Fix: repeat_work_order_rate feeds vendor scorecard; rotation is policy-driven.
  4. Turn scope inflation. Replacing instead of refurbishing without a scope policy. Fix: turn-cost library is authoritative; exceptions routed.
