Review Response Skill

When to activate

  • You have new Google or Yelp reviews that need responses
  • A negative review needs a calm, professional reply
  • You want to respond to every review but don't have time to write from scratch
  • Building a consistent review response template for your team

When NOT to use

  • Reviews that involve legal threats or ongoing disputes — consult a lawyer
  • Reviews you believe are fake — report them to the platform first
  • Responding angrily or defensively — step away and come back

Instructions

Responding to a positive review

Respond to this 5-star Google review for my [business type]:
Review: "[paste the review text]"

My business name: [name]
Tone: [warm and personal / professional / fun]
Include: thank them, mention something specific they said, invite them back

Responding to a negative review

I received this 1-star review: "[paste review]"

My business: [type]
What actually happened (your side): [brief explanation]
My goal: acknowledge their experience, explain without being defensive, offer resolution

Write a response that:
- Doesn't argue or blame the customer
- Acknowledges their feelings
- Briefly explains our perspective
- Offers to resolve it offline (phone/email)
- Keeps it under 150 words

Bulk review responses

I have 12 reviews that need responses. Here they are with star ratings:

Handling specific situations

Fake or unfair review:

I received this review but I believe the person never visited our business:

Write a professional, non-accusatory response that gently notes we have no record 
of this visit and invites them to contact us directly to clarify.

Complaint about something you've already fixed:

This 2-star review mentions slow service. We've since hired extra staff 
and reduced wait times. Write a response that:
- Thanks them for the feedback
- Acknowledges it was an issue
- Mentions we've specifically addressed it
- Invites them to try us again

Review response templates for your team

Create 5 different response templates for 5-star reviews for my [restaurant/salon/shop].
Each should sound natural and different. Include placeholders for the reviewer's name 
and any specific thing they mentioned.

Example

The review:

★★★ "Food was okay but service was really slow. Waited 40 minutes for our mains. 
The steak was good though. Might try again on a quieter night."

Claude responds:

Thank you for coming in and for taking the time to share your experience, [Name]. 

We're really glad the steak hit the mark — our kitchen team takes real pride in that. 
You're absolutely right that the wait for your mains was too long, and we're sorry 
that put a dampener on the evening. We've been looking closely at our pacing on busy 
nights and are actively making changes.
